Eligibility
-
All DSG chartered and recognized groups are eligible for funding.
-
Your event normally must be held on-campus. Exceptions are made when it is not possible to hold your event on campus-for example, SOFC may choose to fund an off-campus bowling trip, but would probably not fund an off-campus basketball game. Contact SOFC if you are unclear about this.
-
Undergraduates must be the primary target audience for your event. This is at the discretion of SOFC.
-
The event must be open to all undergraduate students.
-
Events that promote a specific politician or political party are ineligible for funding.
-
Conference travel is referred to the Dean of Student’s Student Leadership Development Training and Conference Fund. If this fund is exhausted, SOFC will review conference funding requests on an individual basis.
-
See the current SOFC Bylaw (available on the DSG website’s “Constitution and Bylaws” page) for more specific eligibility requirements.
-
It must be possible for undergraduate students to enjoy your event for free. For example, a charity ball may charge for dinner, but must also have a free activity, such as a free dance. SOFC will only fund the free component of the event.
Please keep in mind that SOFC will NOT fund the following:
-
Events that are not free and open to all undergraduates
-
Events that are off campus (unless there is strong evidence why the event cannot be on campus)
-
General body meetings
-
T-shirts
-
Alcohol
-
Decorations
-
Giveaways (Prizes, party favors, etc)
Suggested Donation Guidelines
-
All programs that are funded by SOFC must state that the event is free on flyers, advertising, and during ticket distribution (‘Donations Welcome’ can be stated in addition to but not in replacement of free)
-
Suggested donations cannot be asked for at point of sale/distribution; must be asked for at event only
-
Complaints about heckling may be reported to SOFC and funding may be revoked for future events
These policies are intended to ensure that students do not feel pressured into donating just to attend an event.
Due Date Guidelines
In order to receive funding, you must submit your application at least 2 weeks before your event. The deadline for the Tuesday night hearing is the previous Saturday night at 5 pm.

Please copy the sheet into a new workbook by clicking File–> Make a copy…, then fill the form out and share it with dukefunding@gmail.com
-
Please view the deadline rules above.
-
Check your email for the date and time of your SOFC hearing. SOFC meetings are Tuesday evenings at 7pm in the Griffith Board Room in UCAE. Applications are due at 5:00 PM on the Saturday before the coming week’s meeting.
-
Attend your SOFC hearing, and be prepared to answer any questions about your event and/or your group in general.
-
If SOFC’s recommendation is $1500 or less, you will receive your funds immediately. If the recommendation is greater than $1500, this would have to be approved by the DSG Senate and you may need to wait a few more days for confirmation.
-
Attend the Senate meeting (if necessary) to answer any final questions about your event.
-
Funds are usually transferred the day following that week’s DSG Senate meeting.
-
If you have any questions please email the SOFC Chair at davis.treybig@duke.edu
Writing a successful budget request
-
Budget requests must be submitted using SOFC’s form (available online) and by email to dukefunding@gmail.com. Due to issues with delivery and consistency, we cannot accept paper forms, and we cannot accept requests that are not in SOFC’s format. We are happy to accept and review any supplemental material you would like to bring to your SOFC hearing.
-
Submit your budget request early. To ensure review before your event takes place, please make sure to submit your budget at least 2 weeks prior to the event. SOFC does not back-fund events, so the committee will not hear any requests that do not abide by this policy.
-
Use detail in your budget line-items. If you have a price listed, explain where the quote came from. If you are purchasing/renting many of the same item, break down the unit cost of the purchase. View the sample budget to see an example.
-
If your event is large, place dividers in the budget. See the example budget for a guide to this. It helps SOFC budget events consistently.
-
Be complete, but be honest. SOFC does not fund some expenses, like event decorations. However, it is always in your best interest to list every expense related to your event, because SOFC uses this when deciding how much funding to offer. That being said, keep in mind that budget requests are subject to review by the Auditing Subcommittee, and dishonest budgeting can result in seizure of funds or revocation of your group’s charter.
